Reports by email and CSV export

Numbers leave the admin area in two ways: as a regular report by email and as a CSV file per report. Both access the same data, which you narrow down beforehand via date range and segment.

Setting the date range and segment in advance

  • The “Date range & segment” card sits above the reports — among others in Dashboard, Traffic, Page Analysis, Sessions and Click Heat Map
  • Date range: Today, 7 days, 30 days, 90 days, 365 days, All time or a custom date range
  • Custom date range: from and to date in UTC, as stored in the database
  • Comparison with the previous period: shows the change against the equally long period before it
  • Segment — device: Desktop, Mobile or Tablet
  • Segment — source: all sources, direct visits only or a single referring host
  • Rows per page: 25, 50, 100 or 200 — for the page table, the session list and the session flows
  • The setting affects the cards of this reporting module including exports and detail views; the basic cards above them keep their fixed date range. Only administrators may change it

Scheduling the email report

  1. In the sidebar, switch to “Email Reports” (in German: „E-Mail Reports“) under “Tools”.
  2. In the “Report” card, switch on “Report active” and enter an address under “Recipient”; empty means the administrator address of this website.
  3. Under “Frequency”, choose between Daily, Weekly and Monthly — the choice also determines the evaluated period of 1, 7 or 30 days.
  4. Set “Time” and, depending on the frequency, “Weekday” or “Day of month”; the time follows the time zone of the website.
  5. In the “Distribution list” field, add up to ten more addresses, one per line or separated by commas.
  6. In the “Report content” card, tick the sections you want: click overview, Traffic Analytics, Rage Clicks, Dead Clicks, scroll depth, Form Analytics, Conversion Goals, top buttons and session journey.
  7. Save with “Save & update schedule” and check the result via “Show preview” or “Send test report”.

What goes out as CSV

  • Every large report has its own “CSV” button — for pages, sessions, recordings, sources, scroll, heat map, UTM and drop-off fields, for example
  • The export follows the date range and segment you have set; for recordings and event tables, the device and the search term from the filter bar are included as well
  • Under “Settings → Data retention”, “CSV export” additionally supplies the raw hit data, limited to 5000 rows
  • The browser downloads the file directly; values that begin with =, +, - or @ are defused so that the spreadsheet program does not execute them as a formula
Report Week {{week}} – {{site}}
At the very top of the same page there is a second, simple digest with its own “Report active” switch and only the frequencies Daily and Weekly. If both are active, two emails arrive; the card “Warning: two reports active” points that out and offers “Switch off simple digest”. Sending goes through wp_mail, scheduling through WP-Cron — so an appointment is carried out at the earliest on the next page view after it.
